Introduction
VenueMonk Technologies Pvt Ltd ("VenueMonk", "we", "us", "our") operates www.venuemonk.com (the "Website") and provides venue discovery and booking services. This Privacy Policy explains how we collect, use, share, and protect personal data of users of the Website ("you"), in accordance with the Digital Personal Data Protection Act, 2023 ("DPDP Act") and the rules made thereunder, and, where applicable, the Information Technology Act, 2000 and rules made there under.
By using the Website or providing your personal data to us, you agree to the collection and processing of your information as described in this Policy. Terms not defined here have the meaning given to them in our Terms of Service, available at www.venuemonk.com/terms/.
We may update this Policy from time to time. Material changes will be notified by posting the revised Policy on the Website with an updated "Last updated" date. We encourage you to review this Policy periodically.
Key Definitions
- "Personal Data" means any data about an individual who is identifiable by or in relation to such data.
- "Data Principal" means the individual to whom the personal data relates (i.e., you). Where you are a parent or lawful guardian acting on behalf of a child, or a lawful guardian acting on behalf of a person with disability, "Data Principal" includes such parent or guardian.
- "Data Fiduciary" means VENUEMONK TECHNOLOGIES PRIVATE LIMITED, as the entity that determines the purpose and means of processing personal data.
- "Processing" means any operation performed on personal data, including collection, storage, use, sharing, disclosure, and erasure.
- "Consent Manager" has the meaning given under the DPDP Act — a person registered with the Data Protection Board of India to enable you to give, manage, review, and withdraw consent.
Personal Data We Collect
We collect personal data that you voluntarily provide when you register on the Website, create a venue Listing, request a venue visit, request a quote, or make a booking, including:
- Name, phone number, and email address
- Company name (where applicable)
- Billing information (e.g., for booking fees or payments)
- Home and venue postal addresses
- Event details (e.g., event type, expected attendees, preferred dates)
We also automatically collect certain technical information when you visit the Website ("Log Data"), such as IP address, browser type, pages visited, time spent on pages, search queries on the Website, and access times. Log Data is not treated as personal data unless combined with information that identifies you.
How We Use Your Personal Data
We process your personal data for the following purposes, consistent with the consent you provide or other legitimate uses recognised under the DPDP Act:
- To create and administer your account and Listings
- To connect Members with Venue Owners for site visits, quotes, and bookings
- To process payments and fulfil booking-related transactions
- To respond to your inquiries and provide customer support
- To send you service-related communications, and, where you have consented, marketing or promotional communications
- To improve the Website, our services, and user experience, including through aggregated and anonymised analysis
- To detect, prevent, and address fraud, security incidents, or misuse of the Website
- To comply with applicable law and respond to lawful requests from authorities
Consent
Where we rely on your consent to process personal data, we will provide you with a clear notice, in English or an Indian language of your choice where feasible, describing the personal data to be collected and the purpose of processing, before or at the time of seeking consent. Your consent will be free, specific, informed, unconditional, and unambiguous, indicated by clear affirmative action.
You may withdraw your consent at any time, with the ease of withdrawal being comparable to the ease with which you gave consent, by writing to us at namaste@venuemonk.com. Withdrawal of consent will not affect the lawfulness of processing carried out before withdrawal, and may result in loss of access to certain features of the Website (e.g., deactivation of your account).
Cookies and Tracking Technologies
We use cookies and similar technologies to keep you logged in, understand how you use the Website, and improve our services. Persistent cookies retain login information across sessions, while session cookies are deleted once you log out and close your browser. Third-party advertisers may also place cookies on your browser. You can configure your browser to refuse cookies, though this may limit certain features of the Website.
Sharing and Disclosure of Personal Data
We share personal data only as necessary for the purposes described in this Policy, or as permitted or required by law:
- With Venue Owners, to fulfil site visit requests, quote requests, or bookings you initiate
- With Members, where you have listed a venue and they contact you regarding it
- With service providers who perform functions on our behalf (e.g., payment processing, hosting, analytics, customer support), bound by confidentiality obligations and permitted to use personal data only for the purpose for which it was shared
- With business partners, only where you have consented to receive related communications or offers
- With government or law enforcement authorities, where required by applicable law, legal process, or to protect the rights, property, or safety of VenueMonk, our users, or the public
- In connection with a merger, acquisition, reorganisation, or sale of business assets
Data Retention
We retain personal data only for as long as necessary to fulfil the purposes described in this Policy, or as required to comply with our legal obligations, resolve disputes, and enforce our agreements. Where you request erasure of your personal data and there is no legal obligation to retain it, we will erase it, or anonymise it beyond re-identification, within a reasonable period.
Data Security
We implement reasonable technical and organisational security safeguards appropriate to the nature of the personal data we process, including encryption for certain data, access controls, and other measures designed to prevent unauthorised access, use, or disclosure. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
In the event of a personal data breach, we will notify the Data Protection Board of India and affected Data Principals in the manner and timelines prescribed under the DPDP Act and its rules.
Your Rights as a Data Principal
Subject to the DPDP Act and applicable rules, you have the right to:
- Obtain a summary of the personal data we hold about you and the processing activities undertaken
- Request correction, completion, or updating of your personal data
- Request erasure of your personal data, unless retention is required for a legal purpose
- Withdraw consent at any time (see Section 5)
- Have readily available means to register a grievance with us
- Nominate another individual to exercise these rights on your behalf in the event of your death or incapacity

Children's Data
Our Services are intended for use by individuals who are 18 years of age or older. We do not knowingly collect personal data of children (individuals under 18 years of age) without verifiable consent of their parent or lawful guardian, and we do not process children's personal data in a manner likely to cause harm to them, or undertake tracking, behavioural monitoring, or targeted advertising directed at children. If you believe a child has provided us with personal data without appropriate consent, please contact us at namaste@venuemonk.com so we can take appropriate action, including deletion of such data.
Cross-Border Transfer of Personal Data
Your personal data may be stored, processed, or transferred to servers or service providers located outside India. Where we transfer personal data outside India, we do so in accordance with the DPDP Act, which permits such transfers except to countries specifically restricted by the Central Government.
Links to Third-Party Websites
The Website may contain links to third-party websites or services, including payment processors and advertisers. We are not responsible for the privacy practices or content of such third parties. We encourage you to review their privacy policies before providing any personal data to them.
Phishing and Account Security
We will never request your credit card details, account login credentials, or government identification numbers through unsolicited email or phone communication. Please report any suspicious communication claiming to be from VenueMonk to namaste@venuemonk.com.
Changes to This Policy
We may revise this Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. We will post the updated Policy on the Website with a revised "Last updated" date. Continued use of the Website after such changes constitutes acceptance of the revised Policy.
